    Receptionist

    Hours of Work: 40 hours per week
    Days of Work: Monday to Friday, 8.30am - 5.00pm
    Term: Permanent

    As a Receptionist, you will be responsible for meeting and greeting visitors to the company’s premises in a welcoming and friendly manner and organising refreshments. You will manage meeting room bookings and provide administrative support as required. You will be responsible for dealing with the incoming and outgoing mail, ordering of office stationery and sundries and dealing with incoming calls and directing to the appropriate department. You will also be responsible for the ordering, monitoring and tracking of company uniform working within budgetary constraints. You must possess excellent customer service skills and have the ability to assess the needs of a situation and take action in a measured, proportionate and appropriate manner.

    Responsibilities will include:

    • Meet and greet visitors to the company premises and inform person they are visiting in a timely manner
    • Ensure visitor’s attendance is correctly recorded in line with site health and safety rules
    • Provide refreshments for visitors as required
    • Manage meeting room bookings and ensure meeting rooms are set up ready for meetings
    • Manage incoming and outgoing gate
    • Manage incoming and outgoing mail
    • Maintain and order stationery and office supplies, ensuring best value when sourcing stationery and office supplies and working within stationery budgets
    • Answer incoming calls and direct to appropriate department
    • Support HR team with administrative tasks including photocopying induction packs and arranging interviews for prospective candidates and provide information to the general public regarding potential vacancies
    • Provide administrative support for other departments as required
    • Order, manage and track the supply of company uniform for new employees and with the operational team for the renewal of existing employees. Ensure best value when sourcing items of uniform

    The successful candidate will have:

    • Experience of working as a receptionist/administrator with excellent communication skills and a confident and friendly manner in dealing with people
    • A calm and considered approach to situations
    • Able to work with confidential and sensitive information
    • Able to prioritise and work to meet deadlines
    • Trustworthy, reliable and resilient
